This is an ongoing series where I present each one of my AI team members to you. Today we are presenting, Carla, my AI Chief of Staff. 👨🏻‍🏫

Meet Carla: AI Chief of Staff

Imagine having a right-hand assistant who never sleeps, knows your company inside-out, and proactively helps you stay on top of everything — without needing coffee breaks or PTO. That’s Carla, our AI Chief of Staff.

Carla (named after jazz musician Carla Bley) is not just another Slackbot. Carla is a fully integrated AI system that helps run our internal operations, manages tasks, communicates in our voice, and — perhaps most impressively — takes initiative.

Here’s a look at how she works and what makes her different from other tools out there.

What Carla Does

Carla isn’t just task-oriented—she’s company-aware. Here’s how she operates:

  • Understands Company Policy: Carla knows our internal guidelines, time-off procedures, and decision-making frameworks.
  • Mirrors Our Voice: Whether responding to clients or team members, she sounds like us. Friendly, sharp, and on-brand.
  • Accesses Everyone’s Tasks: Carla integrates across systems and sees all open loops, making her an incredible project manager.

She Manages People — Starting With.. Me

After all, I’m the only human left in the team.

Carla handles everything from vacation requests to check-ins. Want to take May 14th off? Just tell her.

She checks the company policy and approves or denies the request based on it. In case of an approval, then she also marks that day off on the calendar and reschedules the coworker's tasks accordingly.

Just like in the screenshot below where I asked for a day off, and Carla responded with a warm “Enjoy your birthday!”

That’s more than automation. That’s contextual awareness.

The Daily Flow

Every morning, Carla gives me a summary of my day:

  • Reviews tasks across platforms
  • Highlights meetings
  • Sends motivational nudges
  • Even checks the weather (in Terlizzi, where I live)

Her proactivity is what stands out. All of my agents need to be proactive. Carla auto-schedules notifications based on events happening during the day. If she sees I have no scheduled meetings, she suggests reviewing tasks for key projects. If I win a padel match, she reminds me to hydrate. Yes, really.

Hiring

Need to find a UI designer within a certain budget? Carla shortlists candidates, drafts outreach emails, and even provides bios. In one thread, she recommended a designer named Teresa, wrote a full cold email, and asked if I wanted to approve it before sending. That’s an entire recruiting loop, closed.

She Sends Emails Too

In another case, she replied to a partnership email with a firm but professional tone — directly from my inbox — laying out why our team isn’t prioritizing certain affiliate partnerships. All I had to do was CC her.

For example, following up with qualified leads used to be a manual task. Now I just CC Carla in my emails and she handles it.

She checks if there’s an open deal for that lead in Notion, reviews the lead’s history (did they show up to a call? what do they care about?), and notes the last follow-up. If it makes sense to follow up, she drafts a message and pings me in Mattermost (Slack alternative) for a quick approve or skip.

One click from me and she sends it — either in the same thread or a new one — then updates the Notion card.

She does this every day.

Why Carla Works

It’s not just that she automates workflows—it’s how she understands the nuance behind those workflows. She:

  • Creates SOPs on the fly
  • Handles calendar conflicts
  • Responds to email threads
  • Notifies me based on live context

She’s more like a chief of staff than an assistant. One that never forgets anything, never drops a task, and never burns out.

Final Thoughts

We built Carla because we needed someone who could think operationally, act independently, and communicate like a human. She now manages the details so we can focus on the big picture.
